Overview

I developed a custom clinical system for psychologist Rosa Bernal’s practice, designed to grow into a platform for more professionals. It brings together the online booking patients use and everything the psychologist needs afterward: scheduling, patient records, clinical histories, tests, signed consent forms, session packages, payments, reports, and the RIPS files required by regulations in Colombia.

01

The challenge

A psychology practice is more than a calendar. Each patient has a clinical history, consent forms, assessments, payments, and sometimes a session package, and everything must stay protected and organized.

Rosa coordinated appointments through WhatsApp, kept records in separate documents, and did the accounting by hand. This took time away from patient care, left appointments unconfirmed or unpaid, and made it difficult to have each patient’s information readily available.

02

The solution

I built the platform with Laravel 10, Vue 3, and Inertia, with these modules:

  1. 01

    Online booking

Patients choose the consultation type, day, and time based on actual availability, and can use a package they have already purchased.

  2. 02

    Appointment scheduling

List and calendar views with status, session type, payment status, and reminders through WhatsApp and email, synchronized with Google Calendar.

  3. 03

    Patients

Complete records with personal information, appointment history, account balance, family genogram, and an AI-generated case summary.

  4. 04

    Clinical records

SOAP notes, diagnosis, treatment plan, risk assessment, and a signature for each session.

  5. 05

    Psychological tests

PHQ-9, GAD-7, Beck inventories, PCL-5, and others, which patients complete online and the system scores.

  6. 06

    Digital consent forms

Templates that patients sign through their portal and that remain stored in their records.

  7. 07

    Packages and payments

Session packages, online payments through Wompi, receipts, and outstanding balances.

  8. 08

    Finances and reports

Income, expenses, profit, collection rate, and monthly occupancy.

  9. 09

    RIPS

Generation of the service-provision records reported in Colombia.

03

The result

The practice moved from chats and scattered spreadsheets to a single system:

  • Patients can book and pay online, complete their tests, and sign consent forms without paperwork or waiting.

  • The psychologist has each patient’s complete history before every session and can spend that time on therapy instead of logistics.

  • The business can track income, appointments with outstanding payments, and how the practice grows month by month.

  • For compliance

Signed clinical records, stored consent forms, and RIPS ready for reporting.
